Newsletter Guide

From a blank newsletter to emails in your clients' inboxes.

Before you start

Same Windows computer for all of it

1

The Business Hub

Open it in Edge or Chrome and sign in. The hub version shows under the menu on the left.

2

Classic Outlook

The desktop Outlook app, signed in to your email. The sender does not work with the new Outlook or Outlook on the web.

3

Excel and the sender workbook

Newsletter Sender.xlsm. Set it up once with the steps below.

4

This month's market report

A PDF or a picture of the latest market report for your area, from your MLS, your REALTOR association or a market data service. A report broken out by ZIP code works best.

One-time setup: the sender workbook

Do this once

1

Get the macro

On the Newsletter page, step 10, click Get the Outlook sender macro. The .bas file saves to Downloads.

2

Import it

Open a blank Excel workbook. Press Alt+F11 (on some laptops Fn+Alt+F11). Choose File > Import File, pick the .bas file and click Open. Close the editor.

3

Save it

File > Save As. Name it Newsletter Sender and set the type to Excel Macro-Enabled Workbook (*.xlsm).

4

Run SetupSender

Press Alt+F8 (on some laptops Fn+Alt+F8), click SetupSender and click Run. A How to Send sheet appears with two buttons, Send Test Copy and Send Newsletter. Save the workbook.

5

Each time you open it

Click Enable Content on the yellow bar, or the buttons do nothing.

6

When the macro is updated

Press Alt+F11, right-click NewsletterSender on the left, choose Remove and click No when asked to export. Then import the new .bas file the same way and save. Your log tabs stay.

Click Review all sections and read the whole newsletter top to bottom.

Send it through Outlook

Step 10 and the sender workbook

1

Download the send file

Open classic Outlook. In step 10, click Download send file. It lands in Downloads. Its name carries the date, the month and the ZIP codes, such as Newsletter_2026-11-05_Your_Name_November_2026_ZIP_38103-38104.txt.

2

Send a test

Open Newsletter Sender.xlsm and click Enable Content. Click Send Test Copy, click Yes to use the newest send file, and type your own email address. Read the test top to bottom and click every link.

3

Send the newsletter

Click Send Newsletter. Check the subject, the recipient count and the ZIP codes. Click No to save drafts in Outlook, or Yes to send now, about 20 a minute. Keep Excel and Outlook open until it finishes.

4

Save and file

Save the workbook. Each edition has its own tab listing every email, its result and its ZIP code. Then move the send file from Downloads into a folder for that month, such as Newsletters > 2026 > November, so you can find it later.

!

If a send stops partway

Click Send Newsletter again with the same file. Anyone already sent or drafted is skipped. If you already moved the file, click No at the file question and pick it from the month's folder.

Send it without the macro

A few people, or a computer without classic Outlook

1

Copy it

In step 10, click Copy for email, then Copy subject line. The greeting uses the person picked in the Preview box. With no one picked, it says "Hi there,".

2

Paste it

Open a new email in any program, click in the body and press Ctrl+V. Put your address in To and the recipients in Bcc. Send yourself a test first.

How It Works

A guide to each part of the hub.

Get Set Up

Your first week

Your records save on the server as you work. Sign in on your phone or computer and you see the same records.

Properties and Customers

Every deal starts here

1

Add a property

Properties, then + New Listing. Pick the side: Seller Side, Buyer Side, or Referral. Represented both sides? Add two records for the address, one Seller Side and one Buyer Side. Pick the customer from the list or choose + New customer. Add the close date and sale price once it closes.

2

Both sides count twice

When you represent both sides, the sale counts twice toward total sales volume and the Million Dollar Club.

3

Customers work both ways

Pick a customer on a property, or open a customer and use Add a Property to attach a property already in the hub. Phone and email changes on a property update the customer's record.

4

Edit or delete

Open a property or customer to see Edit and Delete. Delete asks you to tap twice. Deleting a property removes its expenses. Deleting a customer keeps their properties.

Expenses, Mileage, and Documents

Keep records as you go

1

Add an expense

Photograph the receipt and the hub reads the amount and vendor. Pick the property, or General business when the expense belongs to no property. Every saved expense shows below the form with Edit and Delete.

2

Log mileage

Record each trip with where you went and why. Mark it Business or Personal. Log Now, Audit Later holds a trip until you sort it.

3

Automatic car trips

Your phone logs a drive each time it connects to your car. Set it up once in Settings, under Automatic Trip Logging. Pick iPhone or Android to get your start and stop links and the steps for your phone.

iPhone: a Shortcuts automation runs when CarPlay or your car's Bluetooth connects and disconnects.

Android: the MacroDroid app runs when your car's Bluetooth connects and disconnects. No car Bluetooth? It runs when you plug the phone in and unplug it.

The hub app does not need to be open. Drives show on Mileage as Needs Audit. Tap Check for New Drives, then mark each one Business or Personal.

4

Store documents and photos

Upload contracts, closing statements, and receipts up to 10 MB each. Use Photo on a property to snap a picture with your phone. Large photos shrink on their own.

Commissions and Reports

How the numbers work

1

Split tiers follow your anniversary year

Commission Setup holds the split tiers, programs, and anniversary date. Tier progress counts agent earnings: commission after the BSF and split, before programs, the same figure many brokerages print as anniversary year commission earnings. A closing crossing a tier line earns the higher split on the part past the line. If you start mid-year, enter the agent earnings already made.

2

BSF follows the tax year

Enter each year's 1099 total. A 1099 over the waiver amount waives the next year's BSF. Use Waive or Charge to override a year, or set one closing on its Edit screen.

3

Million Dollar Clubs

Add each club on Commission Setup with what it counts (sales volume or gross commission) and its year (calendar or anniversary). The Dashboard tracks each one and shows what it takes to reach it.

4

Reports

Commission, Sales, Year-End Tax, Property P&L, Mileage Log, Quarterly Summary, 1099 Check, and Pipeline. Pick a report and a period, then Create Report / PDF or Download Spreadsheet for your accountant.

Monthly Newsletter

Stay in front of your clients

1

Build your list

Newsletter, step 9 Recipients. Import a CSV or Excel file with a ZIP column, or click Add from Customers. Uncheck anyone who should not get it.

2

Build the edition

Work through the steps: Edition, Opening, Market Update, Latest Content, Featured Listings, Community Spotlight, From My Kitchen and Closing. Pick ZIP codes and upload your market report, and the hub pulls the numbers and writes a first draft. Edit anything. The preview on the right shows the email as you go.

3

Send to everyone or by ZIP code

On Recipients, send to every contact, or pick ZIP codes to send only to customers there.

4

Send through Outlook

Step 10. Get the Outlook sender macro once. Each month, click Download send file, then run SendNewsletterTest to email yourself a copy, then SendNewsletter. Each contact gets a personal email from your own address, so replies come to you. The macro needs classic Outlook on a Windows PC.

Commission Setup

Split tiers, broker service fee, earnings programs, and anniversary year. Every commission figure uses these.

Fill From a Photo

Upload a photo or screenshot of the commission schedule. The form fills in for you to review.

📷
Choose a photo of the commission scheduleJPG, PNG, or WebP. For a PDF, take a screenshot of the page.

Commission Split Tiers

The agent earnings (commission after the split, before programs) where each split begins. The part of a closing past a tier line earns the higher split. The first tier starts at $0.

Broker Service Fee (BSF)

A percent of each closing your brokerage keeps, if yours charges one

Turn this on if your brokerage confirms one year over the waiver amount ends the BSF for good, and enter every past 1099 total.
The BSF follows each closing's tax year. Enter each year's 1099 total and the next year updates on its own. The dropdown records what your brokerage did. Pick Charged when they took the BSF anyway. The BSF Check report shows what they owe back. For exact figures, enter the BSF from each earnings statement on the closing's Edit screen.
Once the BSF paid in the period reaches the cap, later closings owe no BSF. Check your schedule for whether the cap runs per tax year, per anniversary year or per closing.

Anniversary Year

Start of the production year for split tiers

Gross commission from closings in the current anniversary year that are not entered in the hub. The split tier starts from this amount.

Brokerage Earnings Programs

Deducted from agent earned on each closing, such as Wealth Building

A per-listing override on a property replaces the program total for that closing.

Million Dollar Club

Track each club your association or brokerage runs. Pick what each one counts (sales volume or gross commission) and the year it counts over (calendar or your anniversary year). Both-sides closings count twice toward sales volume.

Enter the qualifying amounts from your brokerage or association for this year.
Commission settings saved for both of you.

Newsletter

Build your monthly email, preview it for any contact, then send it through Outlook with the sender macro.

How to build and send the newsletter
  1. In step 1, pick the send date and the edition month. The subject is set for you, such as Your Name | November 2026. The sender names each edition's log tab from it.
  2. Work through the steps one at a time. The ✦ buttons have Claude draft text or find ideas. Read everything and fix what is wrong before you move on.
  3. Watch the preview on the right. It shows the email the way your clients will see it.
  4. After the last step, click Review all sections to see every section on one page.
  5. In step 9, check who receives it. The box in the Send header checks or unchecks everyone.
  6. In step 10, click Download send file. Then open Newsletter Sender.xlsm and follow the How to Send sheet.

Click a ZIP code to show and send to only the contacts in it. Click more than one to combine them. Leave all unchecked to see and send to everyone. Your choice saves with this edition.

10. Send through Outlook

One personal email per contact, from your own Outlook.

  1. First time only: click Get the Outlook sender macro. In a blank Excel workbook press Alt+F11, choose File > Import File, pick the downloaded .bas file, and save the workbook as Newsletter Sender.xlsm. Press Alt+F8 and run SetupSender once. It adds a How to Send sheet with instructions and two buttons. Use the workbook on the Windows computer where your classic Outlook is set up.
  2. Click Download send file below. It saves to Downloads.
  3. In the workbook, click Send Test Copy. It offers the newest send file in its own folder or in Downloads. Type one or more addresses, separated by commas. Check the test.
  4. Click Send Newsletter, confirm the file, and choose Drafts or Send now. Sending paces itself at about 20 emails a minute. Save the workbook when it finishes.
Send it yourself, without the macro

Use this with any email program: new Outlook, Outlook on the web, Gmail or Apple Mail. Copy for email copies the finished newsletter. Open a new message, click in the body and press Ctrl+V (Cmd+V on a Mac). It uses the greeting of the person picked in the Preview box at the top right, such as "Hi Sarah,". With no one picked, it says "Hi there,". The subject line is . Put your own address in To and your recipients in Bcc so they don't see each other's addresses. Send yourself a test first, since some email programs drop parts of the design.

The downloaded file opens in your web browser. From there, press Ctrl+A, then Ctrl+C, and paste into an email the same way. Most email providers limit how many people one message can go to, so for a long list the Outlook macro is the safer route.
