RE On Autopilot ("we," "us," or "our") is operated by Southern Solutions Consulting. This Privacy Policy explains how we collect, use, store, and protect information when you use the RE On Autopilot platform and related services.

1. Information We Collect

We collect information you provide when you sign up, set up your account, or use the platform:

• Your name, email address, phone number, and brokerage name
• Your headshot, logo and brokerage logo, if you upload them
• Your commission structure, fee schedule and settings
• Properties, closings, expenses, receipt photos, mileage trips and documents you enter or upload
• Your customers and newsletter contacts, including their names, contact details and ZIP codes
• Location points from your phone, only if you turn on automatic trip logging

We also keep a log of sign-ins and changes to your account so we can support you and protect it.

2. How We Use Your Information

• To run the platform and keep your records
• To calculate commissions and create your reports
• To read receipt photos and commission schedules, and to draft newsletter text, report summaries and newsletter photos with AI
• To support you when you ask for help
• To contact you about your account and billing

We do not sell your information or your contacts' information. We do not email your contacts. Newsletters go out from your own email account.

3. Third-Party Services

• Netlify: hosts the platform and stores your records.
• Anthropic: reads receipt photos and commission schedules, and drafts text, when you use those features.
• OpenAI: creates newsletter photos when you use that feature.
• OpenStreetMap: turns addresses you type into map points to estimate trip miles.
• Payment processor: when we start billing online, payments will go through a processor such as Stripe. We will not store card numbers.

4. Data Storage and Security

Your records are stored on Netlify in a private space for your account. Other agents cannot see them. Passwords are stored scrambled and cannot be read back. Connections to the platform are encrypted. We open your account only when you ask for support, and every visit is logged.

5. Your Rights

• Download all of your records at any time from Settings, Download All My Data
• Correct your information
• Ask us to delete your account and records

6. Data Retention

We keep your records while your account is active. If your trial or subscription ends, we hold your records for 30 days so you can restore your account, then delete them.

7. Your Contacts' Information

You are responsible for having permission to store and email the people on your customer and newsletter lists. We use their information only to provide the platform to you.

8. Children's Privacy

RE On Autopilot is intended for licensed real estate professionals. We do not knowingly collect data from individuals under 18 years of age.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active users of material changes by email or through the platform. Continued use after changes take effect constitutes acceptance of the updated policy.
